Background

KIPP Ascend Charter School is an open enrollment, tuition-free, public charter school located on Chicago’s West Side. KIPP Ascend educates students primarily from the neighborhoods of Austin, West Garfield, and North Lawndale. Students and their parents choose to attend KIPP from 8:00 AM to 5:00 PM during the week, one Saturday per month, and for three weeks during the summer in preparation for outstanding high schools and colleges. Approximately 89% of the students are low income and 100% are African American or Hispanic. KIPP Ascend’s mission is to equip students with the knowledge, skills, and character traits required to succeed in top-quality high schools and universities, and to have a positive impact on their community.

Position Overview

Reporting to the School’s Principal, the Office Manager (OM) is the face of KIPP Ascend Charter School and delivers first class customer service to all constituents in the building, including but not limited to students, parents, staff, and guests. While gracefully juggling any number of key tasks, one of the OM’s primary responsibilities is to operate a welcoming and efficient main office and to serve as a gatekeeper to address questions and minimize interruptions to the school’s leadership team.

Responsibilities

The responsibilities for the Office Manager will be, although not limited to, as follows:

  • Create a neat, welcoming & organized office environment; maintain complete sets of all parent & staff forms
  • Welcome parents & visitors, maintains accurate visitor logs, respond to visitor & parent requests as appropriate
  • Answer phones; redirect inquiries as appropriate & relay messages to staff in timely manner
  • Process & fulfill staff supply, copy  and other similar requests & tasks; this includes all purchasing
  • Receive, distribute, and prepare incoming/outgoing mail & shipments
  • Maintain school supply closet and assist with inventory control
  • Initial review of enrollment documents; follow-up calls as necessary
  • Assist with coordination of school events and processing, production & distribution of memos, newsletters, etc.
  • Maintain teacher work room
  • Maintain office equipment; ensure that copier machines, fax, and postage meter are in working order
  • Record student fees in PowerSchool
  • Order and distribute school uniforms
  • Process late arrivals and follow-up with the families of absent students
  • Oversee student attendance process & ensure it is reconciled & accurate each day
  • Produce academic and school culture reports (report cards, progress reports)
  • Coordinate student health services; monitor student health & safety for any unusual/troubling trends; coordinate with site nursing staff to ensure that students receive appropriate care & immunizations

Qualifications

An ideal candidate for KIPP Ascend’s Office Manager will possess:

  • At least two years of college
  • A minimum of two years administrative experience (experience in a school setting preferred)
  • Excellent oral and written communication skills
  • Excellent organizational skills and detail orientation
  • Strong typing and technology skills, specifically with Microsoft Word, Excel, Access, and Publisher
  • Evidence of strong interpersonal skills
  • Evidence of personal initiative and follow through
